Getting started
Do we need to install anything at the clinic?
No. Cledge runs in a web browser, so any computer at the front desk will do. There is no server to buy and nothing to maintain on site.
We already have thousands of patients on paper and in Excel. Do we retype them?
No. Existing patients can be imported in bulk from a spreadsheet, so you start with the list you already have rather than building it again.
How long before the front desk can actually book with it?
Once your branches, doctors and their availability are set up and staff are invited, reception can book appointments straight away. Setting that up is the first thing we do together on the demo.
Our receptionist is not comfortable with software.
That is exactly who Cledge is built for. Booking is branch, doctor, slot. Checking a patient in is one tap. There is nothing to configure day to day.
Branches and team
We run more than one branch. Is that extra?
Multi-branch is the point of the product, not an add-on. Each branch keeps its own address, working hours and specialities under one account, and owners see every branch in one view.
Can a doctor work at two branches?
Yes. Staff can be assigned to one branch or to all of them, and their availability is set per branch — mornings at one, evenings at another.
Will my staff see everything?
No. Access is role-based. Each person sees only what their role and their assigned branches allow, and you can change either at any time.
What happens when someone leaves?
Remove their access from the team settings. Everyone logs in as themselves, so there is no shared password to change.
Patients and clinical work
If a patient visits both branches, are there two files?
One patient, one history. Contact details, visits, consultations, prescriptions and documents live on a single profile regardless of which branch they were seen at.
Can we print prescriptions on our own letterhead?
Yes. Prescriptions print in a clean format carrying your clinic's own branding, and stay on the patient's record for the next visit.
Does the AI diagnose or suggest treatment?
No, and it is not meant to. AI in Cledge can summarise notes a doctor has already written. It does not diagnose, does not prescribe and does not give medical advice. Clinical judgement stays with the doctor.
How do treatment packages work?
Sell a package of sessions — ten physiotherapy sessions, for example — and each session is counted as it is used, so both the front desk and the patient know where they stand.
Messages to patients
What can we send today?
Appointment confirmations and reminders, plus campaigns to groups of patients — health camps, new services, check-up reminders — on WhatsApp and email. Emails use your clinic's own branded template.
Will messages come from our clinic's own WhatsApp number?
That is coming soon, along with a guided WhatsApp booking assistant. We mark both clearly as coming soon rather than implying they are available today.
How do we know a reminder actually went out?
An outbox records every message sent and the reason any of them failed, so you can check rather than guess.
Can patients stop receiving marketing?
Yes. Marketing and campaign messages only go to patients who have consented, and consent can be withdrawn. Appointment confirmations and reminders relate to a booking the patient made and are handled separately.
Data
Who owns the patient data?
Your clinic does. We hold it so we can run the service for you. It is not sold, and it is not shared with other clinics.
Can we get our data out, or have it deleted?
Yes to both. You can request an export, and the Data Deletion page explains how to ask for removal.
